1. Who we are

Mindful Movers, Inc. ("Mindful Movers," "we," "us," or "our") is a Tennessee corporation. We also run a home and property care brand, Crestwork Home & Property Care. Both brands are one company.

This Privacy Policy explains how we collect, use, share and protect information about you when you visit MindfulMovers615.com, request a quote, book or receive our moving labor and related moving services, such as loading, unloading, packing, in-home moves, estate moves and specialty item moves, call or text us, or otherwise deal with us. It also explains how our text messaging program works and the choices you have.

We serve customers in Middle Tennessee. This policy applies to personal information about individuals. It does not cover information about our own employees and job applicants, which we handle separately.

2. The short version

We collect what we need to quote, schedule, do and bill your job, and to stay in touch if you want us to.

We do not sell your personal information, and we do not share it with other companies for their own marketing.

Your phone number and text-message consent are never shared with anyone for marketing. We text you only about your own request or job, and we send offers by text only if you joined our offers program. Reply STOP anytime to end our texts.

You can ask to see, fix or delete your information by contacting us.

3. Information we collect

  • Information you give us
  • Contact details: name, phone number, email address and mailing address.
  • Move details: pickup and delivery addresses, move dates and times, home and building access details, stairs, elevators and parking notes, and the number of movers and hours you book.
  • Item details: a description or inventory of the items to be moved (including safes and other specialty items), packing needs, and the condition of items and property before and after the move.
  • Access information: door, garage, lockbox or building codes, keys, and entry instructions you give us.
  • Payment details: billing name and address and payment status. Card payments are handled by our payment processors; we do not keep full card numbers on our own systems.
  • Messages and calls: what you tell us by phone, voicemail, text, email, web form or in person, and your feedback and reviews.
  • Text and email choices: whether you opted in to our texts or emails, how and when you did, and any opt-out request.
  • Information we create while serving you
  • Photos and video: Our crew may photograph items, rooms, entryways and the truck or container before, during and after a move, to document condition and protect you and us if a question comes up later.
  • Job records: quotes, schedules, crew assignments, time on site, notes, invoices and any claim records.
  • Call records: call logs and voicemails. If a call is recorded or transcribed (for example, by our answering system), we will tell you at the start of the call.
  • Information collected automatically on our website
  • When you visit our website, our hosting, security and analytics tools collect information such as your IP address, browser and device type, pages viewed, the site that sent you to us, and the date and time of your visit, using cookies and similar technologies. See Cookies and analytics below.
  • Information from other sources

We may receive information about you from:

  • online moving marketplaces and labor-booking platforms you book us through, which send us your booking details;
  • estate sale companies, moving concierges, real estate agents and property managers who refer you or hire us on your behalf;
  • family members or other people who book a move for you;
  • customers who refer you through our referral program;
  • community partners in our Community Rate program
  • our home services brand, Crestwork Home & Property Care, if you have been a Crestwork customer.

4. How we use information

  • To respond to your requests, give quotes, and schedule, perform, document and bill our services.
  • To communicate with you about your request, appointment, job or account, by phone, email, mail or text (texts only as described in Text messages below).
  • To send marketing, such as offers and seasonal reminders, by email or mail with an easy way to opt out, and by text only if you joined our offers text program.
  • To keep you and our crew safe, prevent fraud and theft, and handle damage claims, insurance and disputes.
  • To train our team, check quality, and improve our services, website and customer experience.
  • To keep business, tax and accounting records and to meet our legal obligations.
  • To operate and secure our website and understand how it is used.

We use software tools, including artificial intelligence (AI) tools, to help us schedule, draft and answer messages, summarize calls and keep records. These tools work for us under contract. We use tools that do not use our customers' information to train their AI models, or we turn that setting off. A person on our team stays responsible for decisions about your job, price and account.

5. Text messages

We offer two text programs: Mindful Movers Service Texts (about your request and service) and Mindful Movers Offers & Reminders (marketing). You choose each one separately, and neither is required to buy from us. We text you about a request or job only if you checked the service box on our website or agreed on a call or in person that we may text you; if you text us first, we reply to your messages about your request. We send marketing texts only if you checked the offers box. If you leave the service box unchecked on our website form, we call or email you instead. Full details are in our Text Messaging Terms.

When you opt in, we keep a record of your consent: your phone number, which program you joined, the date and time, how you signed up (for example, the website or page and the consent wording you agreed to, or a note of your request on a call), and the IP address of the device you used for an online sign-up. We use this record only to send the texts you agreed to, to honor your opt-out, and to show that we had your consent.

You can stop texts anytime by replying STOP to any of our texts. A STOP ends all texts from this brand and also ends marketing texts from our other brand. For help, reply HELP or call us at (629) 256-6517. Message and data rates may apply.

Your phone number and text consent are never shared for marketing; see How we share information below.

6. How we share information

We do not sell personal information, and we do not share it with third parties for their own marketing or advertising. We share information only as follows:

Service providers who work for us. Companies that provide our scheduling and customer-management software, phone, voicemail and texting service, email and file storage, website hosting and security, payment processing, accounting and bookkeeping, AI tools, and printing and mailing. They may use your information only to provide services to us.

Our other brand. Mindful Movers and Crestwork Home & Property Care are the same company. We may use your contact and service history across both brands to serve you, for example when you ask one brand about a service the other brand provides. Your text opt-in for one brand is not used to text you from the other brand; each brand gets its own consent. An opt-out from either brand's texts also ends marketing texts from both brands.

The person or organization that booked or pays for the service. Such as a family member, an executor or other person handling an estate, a property manager or a real estate agent, limited to what they need for that job, such as scheduling, job photos and invoices.

People you ask us to work with. Such as a property manager, landlord, real estate agent, family member or other person you name, limited to what they need for your job. If you were referred through our referral program, we may tell the person who referred you that their referral credit was earned, but not the details of your job. If a Community Rate partner referred you, we may confirm to that partner that you received the rate, but not the details of your job.

The marketplace or referral partner you booked through. If you booked us through an online moving marketplace or were referred by an estate sale company or moving concierge, we share what they need to run their part of the job, such as confirmation that the job happened, hours worked, and any issue that needs their help.

Insurance and claims. Our insurance carriers, brokers, adjusters and advisors when needed to handle a claim or protect our legal rights.

Legal and safety reasons. When the law requires it (for example, a subpoena or court order), or when needed to protect the safety, rights or property of you, our crew, the public or our company.

If our business changes hands. If all or part of our business is sold, merged or reorganized, customer records may transfer to the new owner, who must protect them as this policy describes. Text messaging opt-in data and consent do not transfer; a new owner would need your new consent to text you.

With your permission. For example, when you sign a photo and media release or agree to a featured review.

Text messaging opt-in data and consent are never shared. No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. All of the sharing described in this policy excludes text messaging originator opt-in data and consent; this information will not be shared with any third parties. Our texting software providers handle your number only to deliver messages for us.

7. Photos of your home

Job photos are business records. We publish photos or video of your home in our marketing only with your permission or a signed release. When we do, we do not publish your street address or house number, we crop or blur house numbers and license plates, and we do not geotag posts. Our crew is trained not to read, photograph or copy your personal papers, mail, screens or files while handling your belongings.

8. Cookies and analytics

Our website may use cookies and similar tools to keep the site working and secure, remember your choices, measure visits (for example, with Google Analytics), and measure how our online ads perform. These tools collect device and browsing data. We do not send your phone number, email or form entries to advertising platforms, we do not use our customer lists to target ads, and these tools never receive your text-message opt-in data or consent.

You can block or delete cookies in your browser settings; some site features may not work without them. You can opt out of Google Analytics with Google's browser add-on, and learn about interest-based ad choices at optout.aboutads.info and optout.networkadvertising.org. We do not sell personal information. Our site does not respond to "Do Not Track" signals, because there is no common standard for them.

9. How long we keep information

Quote requests that don't book: About 2 years after our last contact with you.

Customer, job, invoice and payment records, job photos, and claim records: About 7 years after your last service.

Access codes and keys: Keys returned, and codes deleted from our password manager (and deleted or redacted from job records and messages where our systems allow), within 30 days after the job they were given for ends.

Text and email consent and opt-out records: About 5 years after you opt out or after our last text or email to you, whichever is later.

Call recordings, transcripts and call summaries, if any: Up to about 1 year.

Event-level website analytics data: 14 months.

We delete records in a quarterly cleanup, so "about" means up to three months past the period shown. Where a system cannot fully delete a record (for example, accounting software), we remove or de-identify your personal details instead. We may keep information longer when the law requires it or when it is needed for an open claim, dispute, audit or legal matter, and then delete it when that need ends.

10. How we protect information

We use reasonable administrative, technical and physical safeguards to protect personal information. Access is limited to team members and providers who need it to do their work. Access codes are kept in an encrypted password manager, and crew members get only the codes they need for their assigned jobs. No method of storage or transmission is perfectly secure, so we cannot guarantee absolute security. If a breach affecting your personal information occurs, we will notify you as required by Tennessee law and other applicable law.

11. Your choices and requests

See, correct, delete or get a copy of the personal information we hold about you. We offer these to every person whose information we hold, whether or not a privacy law requires it. We respond within 45 days, may need to confirm your identity first, and may keep information we are required to keep by law (for example, tax and invoice records). We also keep a record of your text consent and any opt-out, so we can prove we honored your choice.

Texts: reply STOP to any text, or contact us.

Marketing emails: use the unsubscribe link in any marketing email. We will still send emails about your jobs and account.

Phone calls: ask us to put you on our do-not-call list. Our written do-not-call policy is available on request.

Cookies: see Cookies and analytics above.

We will not charge you more or treat you differently for using any of these choices.

12. Children

Our services and website are for adults. Our website is not directed to children under 13, and we do not knowingly collect personal information from them. You must be 18 or older to book services or join our text programs. If you believe a child has given us personal information, contact us and we will delete it.

13. Other websites

Our website may link to other websites, such as review sites, social media, payment pages or booking platforms. Their privacy practices are governed by their own policies, not this one.

14. Changes to this policy

We may update this policy. When we do, we will post the new version on this page and change the effective date at the top. If we make a material change to how we use information we have already collected, we will tell you before the change applies to you. We will never use your text-message consent for a new purpose without asking you again.
